Who we are

Personade ("Personade", "we", "us") provides software that turns one recorded demo into a personalized video and landing page for each of your leads, and helps you find those leads in the first place. In this policy, "you" means a person who uses Personade or visits this site.

What we collect

Information you give us

• Account and billing data: your name, work email, company, and payment details.
• Email you give us on the site: if you download a playbook, ask us to support a tool you use, or join a waitlist for something that is not open yet, we store the email address you submit so we can send you the thing you asked for.
• Recordings you create: the video and audio of your own face and voice that you record to build your demo.
• Lead data you provide: the contacts and company details you upload, import, or search for so Personade can build outreach for them.

Information from the lead sources you use

When you search LinkedIn, Google Businesses, or the contact database from inside Personade, or upload your own CSV, we process the contact and company details returned so Personade can build the video and page. We do not send anything on your behalf. You send your outreach yourself.

Information we collect automatically

We collect standard usage and device data such as pages viewed, actions taken, IP address, and browser type. See Cookies and analytics below for how we use cookies and what you can turn off.

How we use information

• To provide, maintain, and improve the service.
• To generate a personalized video and landing page for each lead on your behalf.
• To create a voice model from your recording, used only to speak the per-lead opening lines you generate.
• To process payments and manage your account.
• To send service messages and respond to support requests.
• To keep the platform secure and prevent abuse.

Cookies and analytics

We use two kinds of cookies. Essential cookies keep the site and the product working, so they cannot be switched off. Analytics cookies are optional, and we only load them if you allow it.

We also test different versions of some pages to see which one explains the product better. If you are shown one, we store a single letter in a first-party cookie so you keep seeing the same version instead of a different one on every visit. It holds no personal data, it is never used to identify you, and it is not shared with anyone.

If you accept, we use two analytics tools. Google Analytics tells us which pages people visit and what is working; it sets its own cookies and receives your IP address (truncated) and usage data as our processor. Microsoft Clarity records anonymised session replays and builds heatmaps so we can see where the site confuses people; it masks text input by default and does not capture the content you type. We use neither to identify you personally, and we do not sell that data.

You choose the first time you visit, through the cookie banner, and you can change your mind at any time from the Cookie settings link in the footer. If you decline, we do not load Google Analytics or Microsoft Clarity at all.

Lead data you provide

To build a video and page, Personade reads publicly available information about a lead's company, such as their website, to draft a relevant opening line. When you upload or import lead data, we act as a processor on your behalf. You are the controller of that data and are responsible for having a lawful basis to share it and to contact the people you reach out to.

Your voice and video

The footage in every video is genuinely you, recorded once. We create a voice model from your recording for the sole purpose of speaking the opening lines you generate, which we then lip-sync onto your own footage. Only the opening line is synthesized. We do not create a synthetic voice or face of anyone who has not consented.

Personade for Slack

Personade for Slack is a separate product. A people team records one video per occasion, and each colleague receives it in Slack on their birthday, their work anniversary, or their first day, with their own name spoken in the recorded voice. This section describes that product specifically. If you received a video through it, this is the part that concerns you.

Who controls the data

Your employer decides to install Personade, who appears on the roster, and what the messages say. They are the controller of their employees' data. We act as their processor and only do what the product does. If you want your data corrected or removed, ask your employer first; we will also act on a request sent directly to us, in coordination with them.

What we read from Slack

• Who is in the workspace: name, display name, job title, profile picture, timezone, and the flags Slack sets for bots, deactivated accounts and guests.
• Work email, used to match a Slack account to the same person in the employer's own records.
• Two date fields on the Slack profile: the standard start date, and one custom date field the employer designates as the birthday field. Slack has no standard birthday field, so on most workspaces there is nothing to read and the people team types birthdays in by hand.
• The workspace name and its list of public channels, so an occasion can be sent to a channel rather than a private message.

What we cannot read

Any message, anywhere. The app holds no message-history permission of any kind, for public channels, private channels or direct messages. It is not that we choose not to look: the permission was never requested, so Slack would refuse the request. The app speaks; it does not listen. It has no slash commands, responds to no mentions, and reads no message content.

What we store about each person

• Their Slack user ID, name, job title, profile picture and timezone.
• Their birthday as a month and a day only. We never store the year.A birthday needs no year, and a year would reveal someone's age, which is sensitive and which the product has no reason to hold. It is not stored, so it cannot be exposed, requested or leaked.
• Their start date, including the year, because counting work anniversaries is impossible without it.
• Whether the people team has excluded them, and whether they have opted out themselves. Both mean the same thing in practice: nothing sends.
• A record of which occasions have been sent to them, so nobody receives the same birthday message twice.

Your right to opt out, which is yours alone

Anyone can opt out from the Personade tab inside Slack, at any time, without asking anybody. Once you have opted out, your employer cannot switch it back on. It is not shown to them as a toggle. It is deliberately built that way: a person who does not want a video should not have to justify it, and should not be chargeable for one either, so an opt-out also removes that person from what the employer pays for.

Guest and multi-channel-guest accounts are excluded before anyone configures anything, because they are usually contractors or clients rather than staff.

The recorded video and the cloned voice

The person filmed is filmed once per occasion and consents on the upload screen before any voice model is created. We record that consent, the time it was given and the IP address it came from. Without it the video still sends; it simply never speaks anyone's name. We do not create a synthetic voice or face of anyone who has not consented.

Only the greeting is synthesised. The rest of the video is the real recording, unaltered.

How the message is delivered

The video is uploaded to Slack as a file so it plays where it lands, and it is also published to a private, unguessable link on our own servers, which is the copy that carries captions. We record when that link is opened, so the people team knows the message arrived. We do not and cannot see whether you watched the copy that plays inside Slack.

If the app is removed

Uninstalling from Slack immediately stops everything: the access token is marked dead and no further message can be sent, whatever is scheduled. The roster we already hold is retained while the account exists, so a reinstall does not mean typing every birthday in again. Email privacy@personade.com to have it deleted instead, and we will do so.

Personade for Shopify

Personade for Shopify is a separate product for online stores. The store owner records one thank-you video, and each customer who buys receives a version of it with their own first name spoken in the recorded voice. If you bought something from a store and received a video like that, this is the part that concerns you.

Who controls the data

The store you bought from decides to install Personade, which orders get a video, and how it reaches you. The store is the controller of your data; we act as its processor and only do what the product does. If you want your data corrected or removed, ask the store first; we will also act on a request sent directly to us, in coordination with them.

What we receive from Shopify

When you place a paid order, Shopify tells us your first name, your email address, the order number, the order total, whether a discount code was used, and which products the order contains. The last three exist only so the store's rules can decide whether your order gets a video, and are not kept. Orders the rules skip leave nothing behind about you at all, only a running count of how many were skipped.

What we store

• Your first name, your email address, and the order number.
• The rendered video and its private, unguessable viewing page.
• Whether that page was opened and the video played, so the store knows its videos are being watched. This is a count, not a profile: no advertising identifiers, no tracking beyond that page.

The recorded video and the cloned voice

The person in the video is the store's own founder or team member, filmed once, who consents on the upload screen before any voice model is created. Only the greeting with your name is synthesised; the rest is the real recording, unaltered. No voice or face of yours is ever involved: you appear in nothing, and nothing of you is synthesised.

How the video reaches you

We do not email you ourselves. The video link is handed to the tools the store already uses, which send it from the store's own address: their email platform (such as Klaviyo or Omnisend), a Shopify automation, or an endpoint the store runs. We also attach the link to your order inside Shopify, where only the store can see it.

If you want it gone

Ask the store to delete your data, and Shopify passes the request to us automatically; we then delete the video, its viewing page and everything we hold about you. You can also email privacy@personade.com directly and we will do the same.

If the store removes the app

Uninstalling stops new videos immediately. Shopify then instructs us to erase the store's data, at which point every customer video, viewing page and record we hold for that store is deleted.

How we share information

We share data only as needed to run Personade:

• Service providers: hosting, storage, video and voice processing, payments, and analytics vendors who process data under contract and on our instructions.
• Legal reasons: when required by law, or to protect rights, safety, and the integrity of the service.
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy.

We do not sell personal data.

Service providers we use

We currently rely on a small set of providers to run the service, covering cloud hosting, database, file storage, video and voice processing, payments, and email. This list can change as the product grows. For the current list of named providers, email privacy@personade.com.

If you are a Personade for Slack customer, our Data Processing Agreement sets out what each category of provider receives about your employees, and forms part of your contract with us.

Data retention

We keep personal data for as long as your account is active or as needed to provide the service, then delete or anonymize it within a reasonable period, unless a longer retention is required by law. When you delete a recording or close your account, we delete the associated recordings and generated videos.

Security

We use technical and organizational measures to protect data, including encryption in transit and access controls. No system is perfectly secure, so we cannot guarantee absolute security.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@personade.com. If you are a lead contacted through Personade, the customer who reached out is the controller of your data, and we will route your request to them.

International transfers

We may process data in countries other than yours. Where required, we use appropriate safeguards for international transfers.

Children

Personade is a business tool and is not intended for anyone under 18. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. We will post the new version here and update the date above. We will communicate material changes through the service.
